Case Study: Environment Canterbury
Environment Canterbury had been digitising records for a number of years. The demand for digitisation was growing as the organisation moved to a paperless office. ECan required a strategic approach for implementing sound digitisation practices. It also required a toolkit setting out the procedures for digitising hard copy records held and received by the organisation.
We worked with ECan to prepare a Digitisation Framework that outlines the factors that must be considered before implementing digitisation and about deciding which records should be digitised. The Framework also provided an overarching strategic approach to implementing the process and practices required to ensure that digitisation activities meet business needs, achieve the business benefits of digitisation and meet the requirements of external standards and legislation.
A Digitisation Toolkit was developed as a practical companion to the Framework. It documents processes and specific requirements associated with digitising ECan’s information holdings.
Benefits and Outcomes
The Digitisation Framework provided a clear strategic direction for undertaking digitisation. The accompanying toolkit ensures that the digitisation processes are conducted effectively and efficiently and legislative and business need are met.
