Every piece of work, whether large or small, involves stakeholders. These stakeholders can include individuals or groups who have an interest in the outcomes, are affected by the activities and outcomes, or can influence the work being delivered. Recognising the presence and role of stakeholders is vital, as their interests and perspectives can shape the direction and success of a project.

When stakeholders are directly affected by a project, it is crucial to proactively manage their expectations and address their needs. Establishing a strong foundation based on respect, trust, and open communication is fundamental.

Identifying your stakeholders.


Knowing and understanding who your stakeholders are is a critical step in successfully developing and delivering against your project objectives.

Considering your stakeholders early enables you to engage with them effectively, understand their perspectives, and ensure their needs and concerns are addressed throughout the process.

Some stakeholders may be obvious, and there may be existing relationships with them. Identifying new stakeholders, or individuals and groups who your or your organisation may not have a lot of contact with means you need to do some early engagement to understand them. 

Techniques to effectively understand and engage with stakeholders 


Your stakeholders will be diverse, with different concerns, and will fill distinctive roles with varied responsibilities in your project.  

Taking an all-encompassing view of your stakeholders provides a clear picture. Stakeholders are not a monolith, individuals and groups, or representatives, may have different communication styles and preference. It is important that you understand these and ensure that you adopt a way to engage and plan actions, that so you respect people’s perspectives, concerns and time. 

 

Two key activities are: 


  1. Stakeholder Mapping: This can be used to Identify and group stakeholders based on their influence, interest, and impact on them to tailor engagement approaches. 

 

Mapping key stakeholders, supports a well-structured plan to outline their interests, preferred communication channels, and the frequency of interactions. This approach helps with thinking through what challenges could occur and how to manage stakeholder expectations. 

 

  1. Engagement planning: A practical way to ensure all relevant parties, interests and concerns are identified and engagement activities can be tailored to address these. 


Effective engagement uses a variety of activities and mechanisms to allow open communication, collaboration, and mutual understanding. Key approaches include: 

  • Regular Communication Channels: Establish meaningful and useful ways for stakeholders to receive updates and provide feedback, such as posts, emails or dedicated forum spaces. Make sure people have access to whatever channels you decide to use. 

 

  • Workshops or Meetings: Facilitate group discussions and collaborative workshops to gather insights and encourage active participation from stakeholders. These can be face-to-face, online or a mix – provide options to acknowledge people’s availability.  


  • Surveys and Questionnaires: Surveys to collect stakeholder opinions, concerns, and suggestions, provide quantitative and qualitative data for insight and establish a benchmark which you can revisit as your engagement progresses. 

 

  • Feedback Loops: Ongoing feedback allows stakeholders to continuously contribute their perspectives throughout the process. This can help you adapt your activities and messaging.
